How to use FieldLoom.
Everything you need to know to run professional HVAC inspections, generate PDF reports, and manage your business from your phone.

First Launch
Enter your company name, technician name, license number, phone, and email on the welcome screen.
Upload your company logo -- it appears on every PDF report you generate.
You're all set. FieldLoom gives you a 30-day free trial with full access to every feature.
Navigating the App
Dashboard -- your home base. Today's jobs, stats, and activity at a glance.
Jobs -- your full job list. Search, filter, and tap into any inspection.
Map -- see all your jobs plotted by address. Great for route planning.
Subscription -- manage your plan, see trial status, and upgrade.
Settings -- edit your profile, report defaults, units, payment links, and more.

What You'll See
A personalized greeting based on the time of day and your name.
Today's stats -- booked jobs, completed, reports generated, and findings count.
Today's inspections -- cards for each job scheduled today with quick-resume.
Get Started card -- appears when you have no inspections yet.
Quick Actions
Tap the gear icon to open Settings directly from Today.
Tap the + button to create a new inspection.

New Job
Tap the + button on the Dashboard or Jobs tab.
Fill in the customer name and service address.
Pick a visit type -- AC Tune-Up, Furnace, Heat Pump, New Install, Service Call, Duct Inspection, or IAQ Assessment.
Weather data fills in automatically from your current location.
Tap Create -- your job is ready with a full pre-built checklist.
Visit Types
AC Tune-Up -- superheat, subcooling, delta T, static pressure, capacitor checks.
Furnace -- CO levels, gas pressure, temperature rise, heat exchanger inspection.
Heat Pump -- heating + cooling superheat, defrost check, reversing valve.
New Installation -- charge verification, startup readings, total external static.
Diagnostic / Service Call -- open-ended, text + photo heavy for troubleshooting.
Duct Inspection -- static pressure, leakage test, duct condition assessment.
IAQ Assessment -- indoor air quality measurements and recommendations.

Customer List
The Customers tab automatically builds a customer book from your inspection jobs.
Search by name, address, or ZIP code to find any customer fast.
Filter by All, Recent (last 30 days), or Due for Service (over 12 months since last visit).
Quick Actions
Tap Call to dial the customer's phone number directly.
Tap Text to open a new SMS message to the customer.
Tap Map to open directions in Apple Maps.

Filling In Items
Numeric fields -- tap and type your reading. Units are shown automatically.
Pass/Fail -- tap to cycle: Not Checked, Pass, Fail, N/A.
Yes/No -- tap to toggle between Yes, No, and Not Checked.
Photo items -- tap the camera icon to capture and annotate.
Auto-Calculations
Superheat, subcooling, delta T, static pressure, and capacitor tolerance are calculated automatically from your measurements.
Calculated values appear in blue and update live as you enter data.
A green dot means the value passes. Red means it failed the criteria.
Voice Measurements
Tap the microphone icon on a numeric item to speak your reading.
Say something like "one twenty" or "three point five" -- FieldLoom recognizes HVAC terms like PSIG, volts, GPM.
Great for working in tight spaces where typing is awkward.

Adding Findings
In a job, scroll to the Findings section and tap "Add Finding".
Give it a clear title and detailed description.
Set urgency: Critical (safety), Recommended (fix soon), or Advisory (monitor).
Enter an estimated repair cost -- feeds into the estimate builder and revenue dashboard.
Attach a photo to show the customer exactly what you found.
Auto-Suggested Findings
After filling in measurements, FieldLoom can auto-suggest findings based on failed items.
Tap "Suggest Findings" -- review and accept the ones that apply.

Taking Photos
Tap the camera button in a job to open the full-screen camera.
Tap the shutter button to capture. The photo opens in the annotation editor.
Annotating
Draw arrows, circles, or freehand marks using Apple Pencil or your finger.
Add text labels to call out specific components or damage.
Undo mistakes with the undo button (up to 30 levels).
Add a caption -- this appears under each photo in the PDF.
Before & After
Tag photos as "Before" or "After" to show the customer what changed.
Before/After pairs appear side-by-side on the PDF photo page.

Adding Equipment
In a job, tap "Add Equipment" to register the unit you're inspecting.
Enter make, model, serial number, year, tonnage, and ratings (SEER, AFUE, HSPF).
Set the refrigerant type and metering device -- feeds directly into auto-calculations.
Data Plate Scanner
Tap "Scan Data Plate" to use your camera to read the equipment label.
FieldLoom uses on-device vision to extract model and serial numbers automatically.
NFC Tags & QR Codes
Program NFC stickers with the equipment ID. Tap your phone on a return visit to load the record instantly.
Generate QR code labels for any unit. Print and attach for quick identification.

Truck Stock
The Inventory tab shows all parts you carry on your truck.
Set minimum stock levels so the app alerts you when it's time to restock.
Using Parts on a Job
From a job detail, tap "Parts Used" to log parts consumed. Quantities are automatically decremented.
Part costs flow into invoices and estimates.

Creating an Invoice
Create invoices from a job or from the Invoices list.
Add line items -- labor, parts, materials -- with descriptions and prices.
Set tax rate and discount. The total calculates live.
Sending & Tracking
Generate a professional invoice PDF and share via email, Messages, or AirDrop.
Payment links (Stripe, PayPal, etc.) are included if configured in Settings.
Record payments received -- mark invoices as paid, partial, or outstanding.

Available Forms
EPA 608 Refrigerant Tracking -- log additions and removals with EPA documentation.
Combustion Safety -- CO readings, draft tests, gas leak checks with pass/fail.
Commissioning Form -- new equipment startup verification.
Work Authorization -- customer sign-off before beginning repair work.
Using Forms
Access forms from the job detail view. Fill in required fields -- pass/fail evaluated automatically.
Completed forms are attached to the job and included in the PDF report.

Message Templates
Pre-built templates auto-fill customer name, address, date, and job details using merge tokens.
Use for appointment confirmations, follow-ups, and thank-you messages.
Customize templates or create your own.
Job Alerts & Reminders
Set reminders for upcoming jobs -- get a notification before the appointment.
Schedule follow-up reminders after completing a job.
Customer Feedback
Request feedback from customers after completing a job.
View ratings and comments in the Feedback Summary.

Generating a Report
Complete at least 80% of the checklist -- the Generate Report button activates.
Tap "Generate Report" in the job detail view.
Preview the PDF, then share via AirDrop, email, Messages, or save to Files.
What's in the Report
Cover page -- your logo, company info, customer details, equipment summary, system condition, and weather.
Checklist pages -- one section per page with measurement tables. Failed items highlighted in red.
Findings page -- grouped by urgency (Critical, Recommended, Advisory) with color-coded borders and costs.
Photos page -- annotated photos in a 2-column grid with captions. Before/After side-by-side.
Signature page -- technician and customer signatures with timestamps.
Customization
Change PDF color scheme in Settings > Report Defaults.
Switch to Spanish for bilingual reports.
Use "AI Summary" to auto-generate an executive summary for the cover page.

Building an Estimate
In a job, open the Estimate section to build a repair quote.
Add line items with description, quantity, and unit price.
Findings with estimated costs are automatically included.
Add discount (flat $ or %) and set a tax rate. Grand total calculates live.
Good / Better / Best
Create multiple estimate options (e.g., repair vs. replace) so customers can compare.
Mark one option as "Recommended" -- it gets highlighted in the presentation view.
Walk the customer through options on your phone or iPad.
Version History
Save version snapshots before making changes.
Restore any previous version -- your current estimate is auto-saved first.

Capturing a Signature
In the job detail, tap "Customer Signature" to open the signing pad.
Hand the device to the customer -- they sign with a finger or Apple Pencil.
Clear and redo if needed. Tap "Accept" when it looks good.
The signature appears on the PDF report's signature page with a timestamp.
Declined Signatures
If the customer declines, tap "Customer Declined". This is recorded for your protection.

Creating an Agreement
Enter client name, address, visit type, annual cost, and expiration date.
Set schedule frequency: monthly, quarterly, biannual, or annual.
Set reminder days before expiry -- you'll get a notification when renewal is due.
Auto-Scheduling
Enable auto-schedule and FieldLoom creates recurring jobs automatically.
Expiring agreements show up on your Dashboard so you never miss a renewal.

Decision Tree
On a Diagnostic Service Call, tap "Diagnostic Tree" to walk through guided troubleshooting.
Answer yes/no questions -- the tree narrows down to the most likely cause.
Get suggested repair actions and add them directly as findings.
AI Diagnostic Chat
Describe the problem in plain English. FieldLoom's on-device AI helps you reason through it.
No data leaves your phone -- everything runs on-device.
Room Scan
On LiDAR devices, tap "Room Scan" to measure floor area, ceiling height, volume, and door/window counts using AR.

Set your default refrigerant and equipment type so new jobs pre-fill correctly.
Choose a PDF color scheme and language (English or Spanish).
Payment Links
Add URLs for Stripe, PayPal, Square, Venmo, or a custom payment page.
Units & Data
Switch between F/C and PSIG/kPa.
Export all jobs as JSON for your records.
Load Sample Data to explore the app with realistic examples.
Pro Tips
Swipe left on any finding to delete it fast.
Use the mic button to dictate notes hands-free while on a ladder.
Your data syncs across devices automatically.
