AI Receptionist

Never lose a job to voicemail.

When you’re on a roof, under a sink or driving, FieldLoom’s AI receptionist answers the call. It offers real times from your calendar, takes messages, and texts you right away when it’s an emergency. You approve every booking.

Included calls every month on Solo Pro (25), Founding Pro (10) and Crew (75). No overage charges, ever.

How it works

Keep your number and your phone. The assistant only picks up the calls you don’t.

Forward missed calls

Turn it on in FieldLoom, then set your carrier to forward unanswered calls to your FieldLoom number. The app shows you the code for your carrier.

The assistant answers

It greets callers with your business name, in English or Spanish, asks one question at a time like a good office manager, and answers questions from your FieldLoom website.

It offers real times

It reads your open hours and existing jobs, offers a few times, and holds the one the caller picks so nobody else books it.

You approve

A booking request lands in FieldLoom with the name, address, problem and time. Approve it, call back or decline: your call.

Listen to complete calls

Three complete calls to the FieldLoom AI receptionist, as heard on the phone.

What it does

Answers questions about your business

“Do you service Trane?” “Do you come out to Round Rock?” It answers from your FieldLoom website: services, service area, hours, brands, license, financing, FAQs and current specials, quoted exactly as you wrote them. Anything else becomes a message for you.

Books from your real calendar

Offers times inside your open hours that don’t clash with your jobs, and holds the slot so the booking page and other callers can’t take it.

Safety first on emergencies

Gas smell, a CO alarm, smoke or sparks: it tells the caller to get out and call 911 or the gas company, takes the address and name, and texts you at once.

Takes messages

“Just have someone call me back” takes seconds: name, best number, done. Questions it can’t answer become a message for you.

English and Spanish

Switches to Spanish when the caller does, and keeps the same careful read-backs of names and addresses.

Knows your returning customers

Recognizes a caller from past jobs, so it can greet them by name and confirm the address you already have.

Every call in the app

Recent AI Calls shows who called, what came of it, a summary and the full transcript.

Never makes promises for you

No prices, no diagnoses, no confirmed visits. It says the technician will go over that, and you decide.

Nothing falls through

If a caller hangs up after picking a time, or before the request was sent, FieldLoom still creates the request from what they said.

Included calls

Every plan with the AI receptionist includes a monthly allowance. It resets on the 1st.

A call counts when the assistant talks with the caller for 20 seconds or more. The same caller calling again within 2 hours counts once.

At the limit, no surprise bill

  • At 80%: you get a notification with what’s left.
  • Allowance used: a few extra calls at no charge (10% more, at least 5), so a busy week doesn’t cut anyone off.
  • Then messages only: the assistant still answers and takes a message for you, but doesn’t offer times.
  • After that: callers hear your greeting and get a text with your booking link until the 1st.

FieldLoom never charges overage for the AI receptionist. Extra call packs are coming in a later update.

Questions

Do I keep my business phone number?

Yes. You set your carrier to forward the calls you don’t answer to your FieldLoom number. Customers keep calling the number they already have, and you still pick up when you can.

Will callers know they’re talking to an AI?

Yes. The assistant introduces itself as your business’s virtual assistant and tells callers the call may be recorded.

Can it book a job without me?

No. It holds the time the caller picks so nobody else takes it, and sends you a booking request. You approve or decline it in FieldLoom; the assistant never tells a caller the visit is confirmed.

What can it tell callers about my business?

What your FieldLoom website says: your services, service area, office hours, brands you work on, license number, financing, FAQs and current specials, quoted exactly as written. It never makes up prices or answers it doesn’t have; those become a message for you. Keep your website up to date in FieldLoom and the receptionist uses the changes on the next call.

What if I haven’t set open hours?

It asks when suits the caller and passes that along in the request. Set them in FieldLoom › Settings › Online Booking Hours and it offers real times instead.

Does it speak Spanish?

Yes. It answers in English and switches to Spanish when the caller speaks Spanish.

What happens with emergencies?

For a gas smell, carbon monoxide alarm, smoke or sparks it gives safety instructions first (leave the building, call 911 or the gas company from outside), takes the address and name, and sends you an urgent alert and text right away.

Can it transfer a caller to me?

Not yet. It takes a message or a booking request, and emergencies reach you by text and notification right away.

What happens when I use up my included calls?

You get a notification at 80%. After the allowance you get a few extra calls at no charge, then the assistant takes messages only, and after that callers hear your greeting and get a text with your booking link. FieldLoom never charges overage.

Is it available now?

Yes. It’s in FieldLoom 1.6.5 for every Solo Pro, Founding Pro and Crew account. Update the app, then turn it on in Settings › AI Receptionist.

Calls are answered by an AI assistant built on Google Gemini. Call transcripts are stored with your FieldLoom account so you can review them. See our Privacy Policy.

Your next customer is calling while you’re on a job.

Download FieldLoom, then turn it on in Settings › AI Receptionist. Included with Solo Pro, Founding Pro and Crew, with no overage charges.
