1. Agreement to Terms
By downloading, installing, or using the FieldLoom mobile application ("App") or any services provided by FieldLoom LLC ("Company," "we," "us," or "our"), including the FieldLoom website, customer portal, and online booking page, you ("User," "you," or "your") agree to be bound by these Terms and Conditions. If you do not agree, do not use the App or our services.
2. Description of Service
FieldLoom is a mobile application and web platform designed for HVAC professionals to perform digital inspections, generate PDF reports, manage jobs and customers, create invoices and estimates, track inventory, schedule appointments, communicate with customers via SMS and email, and run their solo or small-team HVAC business. The App is available on iOS devices. FieldLoom also provides a website with an online booking page for your customers, a customer portal for viewing invoices and approving estimates, and a help center.
3. Account Registration
You must create an account to use FieldLoom. You agree to provide accurate, current, and complete information during registration and to keep your account credentials secure. You are responsible for all activity under your account.
4. Subscriptions and Payments
- FieldLoom offers a 30-day free trial with full access to all features, followed by paid subscription plans: Solo (monthly at $29.99 and annual at $249.99) for one technician, and Crew (monthly at $79.99 and annual at $699.99) for up to five technicians.
- Subscriptions are billed through Apple's App Store. Pricing is displayed in the App before purchase.
- Subscriptions automatically renew unless cancelled at least 24 hours before the end of the current billing period.
- You may cancel your subscription at any time through your Apple ID settings. No refunds are provided for partial billing periods.
- After your trial or subscription ends, your existing data remains accessible in read-only mode. You can still view and export your jobs, reports, and customer information.
5. Customer Payments via Stripe
FieldLoom integrates with Stripe to allow your customers to pay invoices through the customer portal. When you enable Stripe payments:
- Your customers' payment information is collected and processed directly by Stripe. FieldLoom does not store credit card numbers or payment credentials.
- You are responsible for connecting your own Stripe account and for any fees Stripe charges for payment processing.
- Stripe's terms of service (stripe.com/legal) govern the payment processing relationship.
6. SMS and Email Messaging Terms

When you use FieldLoom to send messages to your customers, the following terms apply:
- What messages are sent: Job appointment reminders, inspection report delivery notifications, estimate/invoice notifications, estimate follow-ups, payment reminders, en-route alerts, two-way conversational messages, and follow-up messages initiated by you (the HVAC professional) through the FieldLoom app.
- Message frequency: Message frequency varies based on your usage. Customers may receive up to 10 messages per month per service relationship. No recurring automated marketing messages are sent. Consent to receive messages is not a condition of purchase.
- Message and data rates may apply. Customers' carriers may charge standard messaging rates. Check with your carrier for details about your text messaging plan.
- Opt-out: Customers can reply STOP to any message to opt out of future SMS communications. They will receive a confirmation message and no further texts will be sent.
- Help: Customers can reply HELP to any message for support information, including contact details for FieldLoom LLC.
- How consent is collected: Customers opt in to SMS through one of two paths: (1) the online booking page, by checking a clearly labeled, unchecked consent box when submitting a service request, or (2) in person or by phone at the point of service, where the contractor records the customer's verbal or written consent in the FieldLoom app before any message is sent.
- Consent: You (the HVAC professional) are responsible for obtaining proper consent from your customers before sending them any messages through FieldLoom. By using the messaging feature, you represent that you have received consent from each recipient.
- No mobile information sharing: We will not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or customer mobile information (including opt-in data and consent status) collected through our SMS program to any third party. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.
- Delivery: SMS messages are delivered via Twilio and emails via SendGrid. These services process recipient contact information and message content only as needed for delivery. T-Mobile and other carriers are not liable for delayed or undelivered messages.
7. Online Booking and Customer Portal
- Online Booking: FieldLoom provides a shareable booking page where your customers can request service appointments. Booking requests are not confirmed appointments โ you review and confirm each request within the app.
- Customer Portal: FieldLoom generates secure, token-based portal links that you can share with customers. Through the portal, customers can view their service history, pay invoices via Stripe, and approve estimates. Portal links expire after 30 days.
- You are responsible for the accuracy of information displayed to your customers through the booking page and portal.
8. Website Analytics
The FieldLoom website (fieldloom.io) uses Google Analytics 4 to collect anonymous usage data such as page views, browser type, and interaction events. We do not use this data for advertising or cross-site tracking. Google advertising signals are disabled. The iOS app does not include Google Analytics. For details, see our Privacy Policy.
9. User Responsibilities
- You are solely responsible for the content of inspection reports, findings, invoices, estimates, and any communications sent through the App.
- You must comply with all applicable laws and regulations, including TCPA (Telephone Consumer Protection Act) requirements when sending messages to customers.
- You agree not to use the App for any unlawful, fraudulent, or harmful purpose.
- You are responsible for maintaining the accuracy of your contractor profile, license information, and company details.
10. Intellectual Property
The App, including its design, features, code, and documentation, is owned by FieldLoom LLC and protected by copyright and intellectual property laws. You retain ownership of all inspection data, photos, reports, customer information, invoices, estimates, and other business data you create using the App.
11. Data and Privacy
Your use of the App is also governed by our Privacy Policy. By using the App, you consent to the collection and use of information as described in the Privacy Policy.
12. Disclaimer of Warranties
The App is provided "as is" and "as available" without warranties of any kind, whether express or implied. FieldLoom LLC does not warrant that the App will be uninterrupted, error-free, or free of harmful components. HVAC calculations, pass/fail evaluations, and pressure-temperature tables are provided as reference tools only โ the technician is responsible for verifying all readings and results.
13. Limitation of Liability
To the maximum extent permitted by law, FieldLoom LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the App. Our total liability shall not exceed the amount you have paid for the App in the 12 months preceding the claim.
14. Termination
We may suspend or terminate your access to the App at any time for violation of these Terms. Upon termination, your right to use the App ceases immediately. You may export your data before termination by generating PDF reports for your records.
15. Changes to Terms
We reserve the right to modify these Terms at any time. Updated Terms will be posted on this page with a revised "Last updated" date. Continued use of the App after changes constitutes acceptance of the new Terms.
16. Governing Law
These Terms are governed by the laws of the State of Texas, without regard to conflict of law principles. Any disputes shall be resolved in the courts located in Texas.
